Map your funds
Choose the QuickBooks income account, and optionally the class, each Planning Center fund posts to.
Every gift in Planning Center is designated to a fund. Mapping tells Constat which QuickBooks income account each fund posts to, so your deposits split income the same way your giving does. You map funds once during setup, on the Map funds step, and can change them any time on the Mapping page. These steps are for churches on Planning Center Giving and QuickBooks Online. For another giving platform or ledger, write to [email protected].
Map a fund
The Mapping page lists every Planning Center fund with its state, Mapped or Unmapped. Choose a fund to open its mapping and pick the Income account gifts to that fund post to. If you track classes in QuickBooks, you can also pick a Class for the fund, or leave it at No class. When class tracking is off in QuickBooks, funds post without a class.
Constat suggests an account for each unmapped fund by matching names. A suggestion is only a suggestion: nothing saves until you click Use suggestion or save the mapping yourself. Approvers and owners can change mappings; reviewers and viewers can see them.
Campuses and locations
If your church has more than one campus in Planning Center and you use locations in QuickBooks, map each campus to a QuickBooks location on the same page. A deposit carries a location only when every gift in it belongs to the same campus. Create location for me makes a matching location in QuickBooks when you don’t have one.
Funds you haven’t mapped
You can finish setup with funds still unmapped. A payout that includes a gift to an unmapped fund waits in Review and can’t be approved until the fund is mapped. The payout’s detail shows each fund line, and an approver can map the fund from there without leaving the review.
When someone adds a new fund in Planning Center, it arrives with the next nightly sync as Unmapped, and the people who get exception alerts receive an email so the fund is mapped before its first payout needs it.
Changing a mapping
A change applies to payouts that haven’t posted yet. A payout that has already posted keeps the accounts it posted with; Constat never rewrites a deposit that is already in QuickBooks. If an earlier deposit should have gone to another account, correct it in QuickBooks.
Detail mode
In detail mode each gift posts under the donor’s name, and each fund also needs a QuickBooks item. Constat creates the item the first time a payout needs it, or you can click Create item for me on the fund’s mapping. Moving a fund to another income account moves its item too.
Twelve-month totals for each fund appear on the Mapping page after the first sync brings in your gifts, which helps you see which funds matter most. Next: Review a payout.
