Why Constat

Month-end giving should not mean matching payouts to deposits by hand

Treasurers and bookkeepers spend month-end working out which gifts made up which bank deposit. Constat ties each payout to the deposit your bank received and posts it to QuickBooks Online once an approver says yes.

“Our treasurer already does this by hand”

By hand, month-end means opening each giving payout, finding the bank deposit it became, and keying the funds and fees into QuickBooks. Each night we pull the new gifts, group them into the payouts your bank received, and check each one to the cent.

A payout that does not tie out is held with the difference shown, so whoever reconciles sees it before anything posts.

“Our giving platform already sends gifts to QuickBooks”

An entry per gift, or per day of gifts, does not line up with the bank when one payout carries several days of gifts, less fees. We post one deposit per payout, split by fund, for the amount the bank received.

When the deposit in QuickBooks is the deposit on the statement, reconciling the bank account is a match, not a search.

“We can't have software writing to our books on its own”

Nothing posts until someone with approver access approves it, or until an approver turns on auto-post for payouts that tie out exactly. The approver sees the gifts by fund, the fee and the net first.

Every QuickBooks entry is recorded before it is sent and carries its payout's reference, so a retry never creates a second deposit.

What the books look like

  • Every payout tied out

Each payout is checked to the cent against the total its source states, or the deposit amount from your bank statement.

  • One deposit per payout

QuickBooks gets one deposit for each payout the bank received, with the gifts on the income account of each fund.

  • Checked again every night

Each night we check that the deposits we posted are still in QuickBooks; one deleted there shows in your review queue.
